SUMMARY:

In contemporary times, the efficient information management is essential for organizational success, as it enables a holistic view of processes and reduces competitive disadvantages. Within the context of the Federal University of Rio Grande do Norte (UFRN), the intense flow of information and activities requires effective management to achieve excellence in services, making Information Systems indispensable to support this task. An example is the Transport Module of the Integrated System of Assets, Administration, and Contracts (SIPAC), which is vital for managing the institution’s vehicle fleet but faces underutilization and a lack of structured information flows. In this scenario, the central research question is: How can Information Management improve the informational flows of the transport and refueling request processes within the SIPAC Transport Module to better meet the needs of UFRN users? The general objective is to analyze how Information Management can make the use of the module more efficient, focusing on the transport and refueling request processes from the perspective of UFRN users. The specific objectives include mapping the current informational flows, identifying existing barriers, assessing the adequacy of functionalities to user’s needs, understanding user’s informational behavior, and proposing improvements based on Information Management principles. The research is justified by four perspectives: institutional, as it aims to promote transparency and administrative efficiency within UFRN; social, by contributing to a more effective management of public resources; personal, as it is motivated by the researcher’s direct experience with the module’s limitations; and academic, by filling a gap in the literature through the exploration of specific aspects of informational flows in Information Systems within Higher Education Institutions. The methodology is applied, qualitative, and exploratory, using an inductive approach through a case study. Data collection techniques will include document analysis, unstructured interviews, and informational flow mapping, ensuring data triangulation. The sampling will be intentional, focusing on the main users of the module within the institution, and data analysis will follow the thematic analysis approach proposed by Braun and Clarke (2006). It is expected that this study will contribute to more efficient Information Management aligned with the real needs of UFRN users, optimizing the use of the Transport Module and promoting modernization and greater effectiveness in the institution’s administrative processes.
