SUMMARY:

Introduction: Inadequate management of supplies in healthcare units can affect their performance and put patient care at risk. Waste due to stock mismanagement is a critical factor within organizations, as it may conceal issues related to poor planning and flawed processes. In a care setting for pregnant women, postpartum women, and newborns, this premise becomes even more relevant. Implementing tools that support effective supply management ensures safe care and has a direct impact on the financial management of an institution.

Objective: To ensure the availability of adequate supplies for care in a maternity home for pregnant women, babies, and postpartum women.

Methodology: This quasi-experimental, before-and-after study without a control group aimed to assess the effectiveness of implemented actions by comparing results obtained before and after the intervention, following the stages of the quality improvement cycle, with a quantitative approach. Conducted in a Maternity, Baby, and Postpartum Home in the capital of Ceará state, the first stage of the study involved identifying an improvement opportunity. Next, the criteria for evaluating the interventions were defined and validated, namely: “All supplies must be within their expiration date” and “All supplies must have more than two months before their expiration date.” Validation by expert judges showed 100% agreement. Subsequently, a workflow was designed to guide the supply management actions. Once implemented, this workflow provided quantitative data, which were analyzed in terms of absolute and relative frequencies and presented in graphs.

Results: The root cause analysis of the improvement opportunity identified the main causes as the absence of inventory-taking, lack of consumption history, and lack of routine signaling for low stock levels. Following the steps of the defined supply management workflow, pre-intervention inventory assessments were performed, as well as evaluations after each of the three improvement cycles. Waste was reduced from 28.9% to zero. Consequently, there was also an overall reduction in losses.

Conclusion: The applied methodology proved useful and appropriate for the proposed objective, as after four quality improvement cycles, guided by a predefined workflow of activities, the expected outcome was achieved.
