SUMMARY:

The research focused on the preservation of the institutional memory of the Institute of Technical Assistance and Rural Extension of Rio Grande do Norte, based on the analysis of its historical documentary collection held at the institution’s Central Library. The objective was to develop a preventive conservation manual for archival documents produced in the context of extension activities, grounded on a diagnosis of the conservation status, organization, and storage conditions of these materials. The study was justified by the historical, social, and institutional relevance of the documentation, as well as by the risks of information and memory loss resulting from the lack of appropriate technical treatment and systematized preservation guidelines. The research was characterized as applied, with a qualitative approach and descriptive objectives, using the inductive method. Methodological procedures included bibliographic and documentary research, as well as direct observation of the collection, covering documents produced between 1958 and 2004. The theoretical framework was based on studies on institutional memory, information, archival documents, and preventive conservation within the field of Information Science. The diagnosis showed that the collection presented characteristics of accumulated documentary mass, with weaknesses related to storage conditions, environmental control, handling, and the absence of preservation routines. As a result, a preventive conservation manual was developed, structured in a practical and accessible manner, containing guidelines compatible with the institutional reality and focused on cleaning, storage, handling, and staff awareness. It was concluded that the manual constitutes a viable technical instrument for preserving the institution’s documentary heritage, contributing to the enhancement of institutional memory and to strengthening access to information.
