PotiLex: A platform for strategic contract management

Inadequate contract management undermines corporate relationships, overburdens legal departments, and leads to financial, business, and operational losses. Against this backdrop, the present research investigates whether an artificial-intelligence-based platform can automate post-signature phases of the contract life cycle, with the specific goal of reducing the time and costs corporations devote to contract administration while enhancing contractual governance. The study therefore aimed to specify, develop, and validate a system capable of optimizing the resources invested in contract management and improving the outcomes of that management. An applied methodology with exploratory and explanatory objectives and a qualitative research approach was adopted: literature review, quantitative and qualitative surveys, case studies, interviews, document audits, and iterative prototyping guided the project from the initial ideation stages to a minimum viable product integrated with a responsive artificial intelligence resource. Field tests confirmed tangible gains in efficiency and collaboration and identified the automated semantic extraction of contractual data for process automation as a critical differentiator, which informed refinement of the MVP. The results indicate that the proposed solution is technically feasible and addresses market gaps, offering a realistic path for public and private organizations to raise their information maturity in contract management.
