IMPLEMENTING A DIGITAL SOLUTION FOR INFORMATION MANAGEMENT: FACILITATING THE UNDERSTANDING OF ORGANIZATIONAL PROCESSES

The information society stands out for having information as one of its main resources and for the intensive use of digital technologies in various areas, driving social, economic, and scientific innovation. However, these technologies, in addition to facilitating innovative processes, present significant challenges, such as information overload and the need for efficient organizational processes. In this scenario, organizations, as crucial components of this society, need to develop strategies to promote information management in the most effective and efficient way possible. Therefore, information management, combined with the implementation of digital platforms that emphasize information usability processes, is crucial for the competitiveness and efficiency of organizations. The overall objective of this research was to implement a prototype website, applying visual resources to facilitate the understanding of organizational processes and access to information by employees of Agência Pan, an organization that provides advertising and marketing services. To achieve this objective, the following specific objectives were outlined: 1. Identify the main processes of the organization, prioritizing one for mapping; 2. Map the prioritized process; 3. Define the functional and technical requirements for the development of the digital platform, focusing on the usability and effectiveness of visual resources; 4. Develop multimedia content; 5. Develop the digital solution in the form of a website; and 6. Present the prototype of the developed solution to employees. The research is characterized as social, applied in nature, exploratory, and descriptive. It adopts the inductive method and uses a quantitative and qualitative approach. As for technical procedures, the Design Science Research method was applied. Four instruments were used for data collection: documentary research, semi-structured interviews, focus groups, and questionnaires. The results showed that, although some of the agency's processes were already recorded in digital media, the information remained scattered and poorly standardized, which led employees to preferentially resort to informal consultations, such as colleagues or leaders. A preference for visual, sequential, and centralized content, such as flowcharts, videos, tutorials, and step-by-step guidelines, was also identified. Based on this evidence, Pan Colab was developed, a website structured to integrate, organize, and make available the organization's processes, documents, and strategic materials using multimedia resources. The solution demonstrated potential to strengthen information management, support organizational learning, reduce rework, and facilitate the understanding and dissemination of internal processes. It is a replicable proposal, especially in small and medium-sized organizations seeking to consolidate information practices aligned with process management. Thus, the results contributed to a practical, visual, and innovative approach to information management, promoting greater clarity and integration in the organizational environment and helping Agência Pan overcome information gaps and improve its operational efficiency.
